Where the data lives and what contract covers it

If you process European customers' data, you need to know which region it is processed in and to sign a data processing agreement. Almost every serious platform offers one, but often only on higher tiers. It is the first thing your data protection officer will ask about, so settle it before the demo.

Whether it works on your real documentation

An internal assistant is worth exactly what its access to company documentation is worth, and real documentation is scattered across wikis, shared drives, email and unsorted PDFs. The demo always works on clean data. Ask for a trial with your documents as they are, not as they should be.

Who can see what

This is the most expensive failure mode in this category: an assistant that indexes everything and then answers anyone with payroll or dismissal information. Check that it respects the permissions already in your systems and does not create a shortcut around them.

What happens when it fails

In customer support, the question is not how many queries it resolves but what it does with the one it cannot. A clean handover to a person with full context saves the experience; a loop of generic answers costs customers. Ask to see that specific path in the demo.

Before you pay, keep this in mind

Since 2024 the EU has an AI regulation that classifies uses by risk, and some that look innocent are not: screening CVs, evaluating employee performance or scoring a customer's creditworthiness fall into categories with specific transparency and human-oversight obligations. Before deploying AI in HR or in decisions affecting people, check with your legal adviser. The tool does not carry that responsibility, the company using it does.

What is the difference between an enterprise and a normal plan?

Rarely the AI model, which is usually the same. What changes is the contract: exclusion of your data from training, hosting region, single sign-on, audit logs, support with committed response times and company-level billing. You are paying for guarantees, not capability.

Is it safe to upload internal documents to these tools?

With a signed processing agreement and training switched off, the risk is comparable to any cloud provider you already use. Without that, you are sending company information to a third party with no contractual basis. The difference is in the paperwork, not the technology.

Where should a small company start?

With one specific process that already hurts and is measurable: repeated support questions, meeting summaries or searching internal documentation. Starting with a big platform and then looking for where to apply it is the usual route to a licence nobody uses.
